Membership Agreement

PURPOSE:

Every member has the right to:

  1. Participate in learning, recreational and social opportunities offered by Crewe and Nantwich u3a within the scope of their physical ability and according to availability.

  2. An environment that is safe, respectful and free from harassment, discrimination and bullying.

  3. Their personal information being maintained in accordance with Crewe and Nantwich u3a’s Privacy Policy.

  4. Learn Laugh and Live in a safe environment through being informed of venue evacuation procedures on a termly basis.

Every member has the responsibility to:

  1. Support the purposes of Crewe and Nantwich u3a and observe its Constitution, its policies and procedures; they are exhibited on its website.

  2. Keep up to date with important information such as policies, guidelines notices and other information posted in the newsletter and on the website.

  3. Update and maintain Emergency Contact Information on their website u3a profiles.

  4. Act and speak respectfully, with courtesy, cooperation, inclusiveness, and maintain positive relationships.

  5. Act with honesty and integrity towards Crewe and Nantwich u3a and its members.

  6. Take responsibility, when participating in activities that they are within the limitations of their health and abilities, and to notify appointed group leaders immediately if they feel unwell or pain develops during activities.  Moreover, members must advise appointed group leaders of ailments that may compromise their ability to complete the activity.

  7. Observe strict confidentiality regarding any access to members’ personal information in accordance with Crewe and Nantwich u3a’s Privacy Policy.

  8. Avoid any real or perceived conflict of interest and refrain from using u3a membership to promote personal interests or financial gain.

  9. Support the safety and wellbeing of u3a’s members, its property and possessions and report any safety hazards to Group Leaders or committee members.

  10. Maintain the good reputation of Crewe and Nantwich u3a and contribute to its ability to serve the community’s interests.

 Every member has the responsibility for:

  1. Attending u3a activities wearing clothing suitable for the activity being undertaken.  Moreover, members must respect group leader’s decisions regarding individual participation when this clause is breached.

  2. Taking responsibility for personal equipment brought to u3a activities.  Special consideration should be given to electrical items; they must not be left unattended and should not result in circuit overload when attached to extension leads.

  3. Becoming familiar with signed fire evacuation routes from u3a venues being attended.  When joining groups mid-term, it’s the members responsibility to engage with the appointed group leader regarding venue evacuation procedures.

  4. Administration of personal medication during participation in u3a activities.

  5. Acknowledgement of group leader advice on personal provision of refreshments and sustenance when participating in physically demanding u3a activities.

  6. Checking and acting upon group leader notification of activity changes or constraints consequential of prevailing weather conditions.  By virtue of ongoing membership members consent to the use of personal information such as personal telephone numbers used for such communication.

  7. Reviewing the risks and constraints published in Risk Assessments associated with groups of which they are members.  Subsequent attendance to those groups confirms acceptance of such risks and constraints.

Every member agrees to be bound by the following terms and conditions.

The following Gift Aid statement applies if you selected YES in the Gift Aid box during your initial application or within “My Information > Check My Personal Details” on the web site.

Members are requested to periodically review and if necessary, update their Gift Aid status.  If you do not select Gift Aid, or you do not intend to give Gift Aid in the future, then please disregard the following statement.

Gift Aid Statement

Gift Aid is reclaimed by Crewe & Nantwich u3a from the tax you pay for the current tax year.  Your address is required to identify you as a current UK taxpayer.

I would like to take advantage of the Gift Aid Scheme to enable Crewe & Nantwich u3a to reclaim Gift Aid on my Membership contributions.  Please treat as Gift Aid donations I make in the future or have made in the past 4 years to Crewe & Nantwich u3a.  I confirm I am a UK taxpayer and understand that if I pay less Income Tax and/or Capital Gains Tax than the amount of Gift Aid claimed on all my donations in that tax year, it is my responsibility to pay any difference.

Please notify Crewe & Nantwich u3a if you wish to cancel this declaration or if you change your name or home address or no longer pay sufficient tax on your income and/or capital gains.

Note: If you pay Income Tax at the higher or additional rate and want to receive the additional tax relief due to you, you must include all your Gift Aid donations on your Self-Assessment tax return or ask HM Revenue and Customs to adjust your tax code.

TAM is the National Magazine of the Third Age Trust.

Participating members names and addresses are passed to the appointed third party used by the Third Age Trust to distribute 'Third Age Matters' and similar publications.  No other information from the database is made available outside of Crewe & Nantwich u3a.

If you want to receive the magazine and agree to your data use for the distribution of the magazine, please select ‘YES’ to the TAM question during your initial membership application or within “My Information > Check My Personal Details” on the web site.

Crewe & Nantwich u3a has implemented a Policy to comply with the General Data Protection Regulation 2018 (GDPR) concerning the holding, usage and dissemination of personal data. The Committee is responsible for monitoring that this Policy is being correctly applied.

Personal Data

Crewe & Nantwich u3a website holds personal data about each member: Title, Names, Address, Telephone Number/s, Email Address and Emergency Contact Information.  Both non-members and non-authorised members cannot access this information.  Access is controlled by nominated administrators.  Hard copy signed membership forms are also securely held in accordance with UK GDPR and Gift Aid regulations.

You have the right to request a copy of the data Crewe & Nantwich u3a hold about you.  You can request this by contacting the Chairperson at chair@candnu3a.org.uk.  Under normal circumstances requests will be processed within 1 calendar month without charge.

Footnote:

Breaches of the Membership Agreement should be reported to the Secretary. Issues will be managed in accordance with Crewe and Nantwich u3a Inc.’s Constitution and relevant policies.

Members commitment to the Membership Agreement is implied through continued membership of Crewe and Nantwich u3a.

This Membership Agreement was adopted by the Crewe and Nantwich u3a Committee on 4th September 2024.
